B2B SaaS Revenue Playbook: Connect GTM Strategy to Daily Execution in HubSpot

A revenue playbook gives teams a shared way to target accounts, qualify deals, manage the CRM, and hand customers over to Customer Success. This example revenue playbook shows how Limitless Consulting connects go-to-market strategy to daily execution in HubSpot, with standard operating procedures and clear responsibilities for each role.

Problem

Revenue strategy can become disconnected from the way teams manage deals. Without a clear, shared way of working, targeting, deal progression, pricing approvals, handoffs, and reporting can vary between teams. A revenue playbook brings those decisions into one guide so everyone knows what to do and who owns each step.

Environment

The playbook is designed for a Series B B2B SaaS company selling through outbound, inbound, and partner channels. HubSpot serves as the central system for managing revenue activity. The sales approach focuses on winning an initial department, then expanding across the customer’s business.

What We Found

Teams need clear standards at each step of a deal. Qualification requires evidence about the buyer and their decision process. Forecasting requires defined deal stages and current CRM data. Customer Success needs a complete handoff, including the customer’s priorities and commitments made during the sale. Each process needs an owner and a regular review.

What We Changed

We brought ideal customer profile (ICP) criteria, buyer personas, messaging, channel ownership, and sales stages into one playbook. Discovery guidance uses MEDDPICC, a deal-qualification framework that helps sellers understand buyer needs, decision makers, purchasing requirements, and competition. HubSpot procedures define required fields, activity logging, workflows, and review expectations. Pricing approvals and processes for won and lost deals keep decisions and their supporting information documented.

Implementation

Start by documenting how the team sells and what each role owns. Define what must be true before a deal moves to the next stage, which CRM fields are required, and how next steps and loss reasons are recorded. Use the playbook to guide CRM setup and team training, including proposals and customer handoffs. Build weekly, monthly, and quarterly reviews into the process, and update the guide as the business learns.

Results

The finished playbook brings ten areas of revenue execution into one guide, from targeting and messaging to HubSpot procedures, customer handoffs, and performance reporting. It gives teams a shared reference for responsibilities, required information, and next steps.

Lessons

Connect each strategic decision to an action, an owner, and the information the team needs to record. Keep the rules clear and current. A playbook works when the team uses it and keeps it up to date.
